About the project
The Crayon Initiative (TCI) is a nonprofit organization with a heartfelt mission: recycling used crayons to create new ones and donating them to children in hospitals, brightening their days and fostering creativity during challenging times. To achieve this, TCI oversees a multifaceted operation involving the collection of donated crayons, processing them into new crayons, and distributing them to hospitals across the country. However, managing this complex process efficiently posed significant challenges.
TCI approached Solwey Consulting to bring order and optimization to their intricate workflow. The existing process, encompassing everything from gathering crayons to sorting, melting, reshaping, and coordinating distribution, was marked by inefficiencies and operational chaos. TCI needed a tailored internal process management system that could streamline every step and provide real-time oversight, ensuring that the organization could scale its efforts effectively and meet growing demand.
Our team worked closely with TCI to design and develop a comprehensive, customized solution that addressed all aspects of their workflow. This included features for tracking donations, managing inventory, coordinating production stages, and facilitating distribution logistics to partner hospitals. The system was built with user-friendly interfaces to empower staff and volunteers, making the management of day-to-day tasks intuitive and straightforward.
Our Solution
After thoroughly understanding TCI’s challenges, we recommended developing a customized internal control management system tailored to address their most pressing issues. Our goal was to create a comprehensive platform that streamlined TCI’s operations, from collection to distribution, and enhanced visibility across all processes.
The solution we developed integrated robust management tools that encompassed key operational areas: tracking partner hospitals, managing donor interactions, overseeing incoming and outgoing shipments, maintaining accurate inventory records, and organizing an events calendar. This system provided TCI with a centralized dashboard where users could effortlessly monitor the organization's activities and coordinate tasks efficiently.
By implementing this solution, TCI gained a clear, real-time overview of their workflow, empowering staff and volunteers to perform essential tasks such as managing donations, scheduling production, and arranging shipments with greater ease and precision. The intuitive design allowed users to navigate the platform seamlessly, reducing administrative burdens and freeing up resources for their core mission of supporting hospitalized children.

The client wanted simple and very clean design since the platform may be used by the people with below-average level of expertise in operating computer software and hardware. Therefore we created the platform with only necessary tasks and very easy and simple task management system.
The client didn’t have the end product vision in mind when we fist talked so it was very effcient to work through the processes milestones they were facing at that time. Thanks to the platform, client is able to manage and track donations and donors, monitor and edit the production process, create events and manage the eployee/ volunteer workload.
